Community-Based Events and Parent Engagement Activity Pre-Approval Form
Community-Based Events and Parent Engagement Activities (PEAs) may be held to support programming when they are approved in your proposal and have been pre-approved by your Project Manager.
The Community-Based Events and PEA pre-approval form (links to PDF in new window or right click to download) will guide you through the requirements in order to receive pre-approval to conduct an event as part of your SNAP-Ed programming.
As part of partners’ contractual obligation to protect privacy, particularly in regard to minors, photographs, video, or audio recordings that are to be made public must have a release completed for each person who is captured and recognizable in photographs or video/audio recordings. Partners can follow their own policies for photos or video/audio recordings that to be used only for internal purposes. Procedure:
- Parents or guardians must sign the multimedia release prior to their children being photographed or captured on video or audio.
- If it is known ahead of time that photos, video, or audio recordings will take place (for a nutrition-based class for children, as an example), multimedia releases can be completed at the beginning of the class or program year. NOTE: many schools have releases signed by parents at the beginning of the school year and this release may be sufficient for your needs.

Private property (location) release
For additional legal protection, organizations may wish to obtain a property release from the property owner if photographs, video, or audio recordings are to be captured on private property. An example of a property release is available in both Word and PDF formats below.

Time and Effort Certification for Federal Award Management
MFF requires all subrecipients to certify that their time and effort practices align with the new OMB Uniform Grant Guidance 2CFR Part 200. This Time and Effort Certification for Federal Award Management document (links to PDF in new window or right click to download) should be reviewed and signed by an authorized agency representative who can attest to the agency’s time and effort practices. This certification will satisfy a SNAP-Ed grant compliance requirement.
Translation Services Request Form
Intentional translation of educational materials is one way to meet the needs of communities with culturally relevant information. To make a request for the translation of SNAP-Ed program materials, complete the Translation Services Request Form (links to PDF in new window or right click to download) and email it to your MFF Project Manager for pre-approval. Translation times may vary but we will give you an estimated window of time to expect your translated materials.
Travel and Meal Rates
Partners may use the Travel and Meal Rates for submitting travel expenses. Please refer to the MFF SNAP-Ed Travel and Meal Rates (links to PDF in new window or right click to download) (updated 1/8/20) when preparing travel expenses for submission.
